You will be responsible for managing company-wide projects in close collaboration with business partners encompassing the roles of project manager and change manager, whilst supporting the portfolio manager.

Your responsibilities are as follows :

  • Project management
    • Create project plans encompassing the full project lifecycle, including both IT and non-IT activities such as business case, charter, scope, securing resources, communications, development, testing, training, handover, benefits realisation,;
    • Apply both waterfall and agile methodologies;
    • Manage upwards – leverage project sponsor and steering committee to achieve goals; navigate governance processes;
    • Drive and coordinate execution of plans, including adaptation to changing requirements, risk mitigation and issue resolution.

  • Change Management
    • Plan and execute appropriate change management activities such as stakeholder identification, communications, workshops, webinars, training, news articles, and monitoring of adoption;
    • Involvement of all relevant internal and external stakeholders, including at national, European and international levels;
    • Identify and address causes of resistance to change.
  • Committee management
    • Act as coordinator for a consortium, including meeting management, consensus-building and secretarial responsibilities.

  • Capability development
    • Identify and propose opportunities for improvement in methodologies, processes, techniques and tools used by the PMO team;
    • Develop own skills and support the development of colleagues undertaking similar tasks, for example through research, training, coaching, experimenting and exchanging lessons learned.

As Program Manager, you’ll manage multiple major projects (concept, follow-up, implementation, evaluation, etc) to upgrade the governance between business and IT. 


Scope range, timing, budget and quality are managed in accordance with internal and external processes’ of the company.
The company will start with the following initiatives and are part of the program which is called “Gov5”:

  • Project 1 : Move Product Ownership to business in case it is currently still handled by IT
  • Project 2 : Structure the Demand and the Supply
    • Organize the Demand Portfolio around Strategic Benefits 
    • Organize the Supply in Domains with Products
  • Project 3 : Implement the result of Project 2 in 3 waves across the ~10 Domains and the ~7 Benefits 
  • Project 4 : Implement a solution on Jira to support the above structures
  • Project 5 : Adapt the financial set-up to be in line with the above structures
  • Project 6 : Align the HR job descriptions in line with the company's structure

 

Primary Tasks and responsibilities

 

  • Get the 6 projects delivered, clarify scope and synergies between the different sub-projects.
  • Manage the change trajectory, involving communication, training, documentation, coaching 
  • Respect mile stones of the projects.
  • Managing the risks and issues related to the roll-out.
  • Ensuring the compliance to standards and best practices across all Strategic Benefits & Domains.
  • Be proactive in proposing solutions and innovations.
  • Reporting progress, issues, risks etc.to the portfolio management.
  • Install a process of « roll-out review » to make sure the continuous qualitative delivery is assured from the “lessons learned”.
  • Follow-up on possible change and deliverables related feedback from the customer on continuous bases.

Secondary Tasks and responsibilities

 

  • Deploy and develop an active and consistent communication with different stakeholders.
  • Facilitate the operational functionality of the project groups and other stakeholders.
  • Help define the roles and responsibilities within every Benefit and Domain.
  • Self investment and participation to the creation of a « learning school » of the applied knowledge and tools used in the processes’ within different domains.

In this role, you will be responsible for overseeing the order-taking process, ensuring and supporting smooth operations, and leading an experienced team of order management professionals.

You will work in close collaboration with a wide range of different stakeholders (plant managers, sales managers, management, clients…).

This is a new role in the company.The further development and completion of the function might evolve in line with your personal skills.

Order Management: Manage the end-to-end order-taking process, from order receipt to fulfillment, ensuring accuracy, timeliness, and customer satisfaction.

Team Leadership: Lead and motivate a team of five order management specialists, providing guidance, coaching, and support to ensure team success.

ERP Expertise: Utilize your strong knowledge of ERP to optimize order processing, troubleshoot issues, and implement process improvements.

Change Management: Participate in change management initiatives related to order management processes, ensuring smooth transitions and adoption of new procedures.

Customer Satisfaction: Collaborate with other departments to resolve customer issues and inquiries promptly, aiming to exceed customer expectations.

Performance Metrics: Monitor and develop key performance indicators (KPIs) related to order management and work with the team to achieve and exceed targets.

Process Improvement: Continuously evaluate and enhance order management processes for efficiency and accuracy.

Documentation: Maintain accurate records and documentation related to orders, ensuring compliance with company policies and industry regulations.

Reporting: Generate reports and provide insights to upper management on order management performance and trends.
