The main responsibility of the Proposal Coordinator is following up on the creation of budget quotations for our clients in response to Request for Proposals (RFP) and Change in Scope (CIS) requests.As Proposal Coordinator you bring together different operational teams to collect and process all necessary input for the development of your budget proposals while respecting deadlines and combining multiple simultaneous projects.By complying with our internal standards, you ensure we deliver polished and accurate documents to our clients.This is a detail-driven role and as such any successful candidate will bring a seasoned eye for detail and commitment to compliance with SGS Clinical Research processes and guidelines for budget development.

You will be part of a small but tight-knit team as part of a diverse organization in a fascinating industry.

Your responsibilities

  • You act as the lead for assigned budget requests, in response to RFP and CIS requests.
  • You identify the internal or external client's requirements and you interact with business development and the operational teams to obtain input for your budgets.
  • You set up budgets (ballparks, detailed budgets, client-specific bid grids) for our various clinical conduct services, including our early phase clinical sites, biometrics activities and clinical operations.
  • You take care of all necessary administrative proceedings.
  • You establish and adhere to timelines for completion of deliverables in cooperation with the sales team and/or the operational teams.
  • You ensure clear and open communication towards upper management, the sales team and the applicable operational team members (and occasionally our clients).
  • You review, verify, and evaluate cost estimates to ensure agreement with written information, client specifications and internal assumptions.
  • You conduct quality control measures to ensure the final budget meets the company and departmental standards.
  • You interact with the other Proposal Development team members to ensure alignment on processes, transfer and sharing of expertise and knowledge, and to develop the department's improvement projects.

Our client is a chemistry company situated in Mechelen.

The scope of responsibilities for this job include:

  • Managing and leading a team of 4 accountants.
  • Ensuring adherence to all accounting guidelines, translating IFRS guidelines to local processes.
  • Handling VAT declarations, Intrastat, Intracommunity listing, and other reportings.
  • Executing monthly closing entries, reconciliations, and management of deferred and accrual accounts.
  • Preparing and maintaining financial ledgers, including analytical and intercompany transactions.
  • Participating in ad-hoc projects, such as ERP implementation and drafting company-wide accounting guidelines.
  • Coordinating month-end closing activities, conducting daily calls, and overseeing operational matters.
  • Reviewing journal entries and implementing post-close activities and improvements.
  • Managing balance sheet reconciliation and review processes.
  • Preparing annual accounts, financial statements, VAT returns, and NBB statistics.
  • Contributing to tax planning and participating in the annual audit, providing requested documentation.
  • Ensuring effective cash planning follow-up.
  • Supervising daily activities of accounting teams, including general accounting, banking, accounts payable, and accounts receivable.
  • Ensuring compliance with all applicable laws and regulations for general accounts.
  • Supporting internal and external audits and handling accounting-related ad-hoc requests for management.
  • Close monitoring and necessary actions for receivables and overdue accounts.
  • Reporting directly to the CFO.
