As the HR & Administration officer, you will handle all administrative aspects which are crucial to run the office.As a member of our HR team, you will handle HR-related tasks and you will be responsible for all company event.Your role allows you to actively participate in planned projects and introduce fresh ideas to drive our organization forward.

As HR & Administration officer, you will be responsible of:

  • Reviewing proposing any amendments to HR and Administration related policies and procedures
  • Prevention advisor, be responsible for employee prevention in coordination with the HR senior officer
  • Onboarding coordination in close collaboration with the Senior Officer HR, onboarding new joiners from an IT/infrastructure perspective
  • Answering any queries employees may have
  • Managing internal events/gifts for the employees
  • Fleet and company mobile phone coordinator
  • Following up on administrative and human resources tasks in collaboration wit the HR Senior Officer
  • Managing internal communication
  • General administrative tasks and projects related to running and managing the office in close collaboration with management and the entire HR & Admin team
  • Manage everything related to the office and making sure the office is fit for purpose - attending to contractors, office deliveries, routine maintenance of the office cleanliness etc.
  • Liaising with the IT support team to resolve any IT issues and when devices need to be ordered (including laptops and remote devices as required)
  • Ensuring there is a warm welcome for external customers and visitors
  • Coordinating processing and payment of invoices

Areas of responsibility:
  • Provide all-round administrative support for and regularly liaise with the Health and Safety Officer
  • Follow up on administration and coordination linked to Health and Safety
  • Keep the Health and Safety calendar up-to-date and arrange meetings
  • Ensure that administrative systems, processes and databases are kept up to date - in particular any processes related to inspection – and inventory management
  • Monitor the Year Action Plan in liaison with the Health and Safety Officer
  • Support the Health and Safety Officer in making a risk analysis when needed
  • Monitor activities on campus which need to adhere to BSB’s Health and Safety Policies and the Codex for Welfare at Work
  • Liaise with IDEWE (external service for Health and Safety) and other services as required on any legal matters pertaining to the Codex for Welfare at Work
  • Follow up any ongoing projects and schedule walkarounds with IDEWE in liaison with the Health and Safety Officer
  • Be the main point of contact for any department, member of staff or student with a health and safety concern; make sure it receives appropriate follow-up in liaison with the Health and Safety Officer
  • Report and follow up on any irregularities or dangerous situations
  • Investigate and report any accident or incident involving a member of the BSB Community and ensure a good follow-up
  • Support the Health and Safety Committee as necessary
  • Communicate effectively with the Health and Safety Committee, members of staff and the BSB Community
  • Deliver the highest standard of customer service when dealing with enquiries either on the telephone or in person
