Responsible for providing administrative and organizational support to the activities and several members of the management team to ensure the smooth running of their daily activities.
- Managing administrative and organizational tasks of the site:
- Day-to-day office management: coordination with external cleaning service, communication with the property management, municipality, etc.
- Procurement of consumables.
- Data entry, tracking, and receipt of orders and investment requests.
- Lease management with tenants and acting as an interface for any requests in coordination with the legal department.
- Supervising building cleanliness, organization, and security, and addressing any issues as needed.
- Keeping documentation for building management up to date.
- Providing secretarial support to the General Management and the Anderlecht site.
- Coordinating and welcoming appointments as needed.
- Assisting in translating newsletters from French to English and vice versa.
- Handling travel arrangements, restaurant reservations, expense reports, VISA applications, etc.
- Acting as a liaison for the HR department in Escanaffles.
- Supporting in organizing parties and team-building events.
- Organizing gifts for various events.
- Physically preparing the welcome of new staff members in Brussels.
- Assisting in checking the car, transferring documents and keys at the beginning or end of a contract.
- In the absence of the concierge, you will be responsible for ensuring the continuity of key tasks.
