Description

- Support to annual summit & event project management unit

  • Organises Internal meetings: room booking, room preparation, catering, smooth running of sessions, video checks, sound checks, agenda preparation and sending, minutes, follow-up;
  • Organises hotel bookings and travel arrangements for the team when required
  • Support the team with Any other logistical or administrative task that could be requested

- Speakers Management

  • Manages the speakers' management module in the event management tool: creating calls for abstracts, categorising applicants based, creating review pages, exporting reports, creating speakers' platform, managing technical issues and all other back-office issues
  • Prepares and collects material, manages Call for Abstracts process: drafts and launches call, set-up of modules in event management software, management of questions from applicants, drafting and sending of response communications to applicants
  • Drafts and sends communications to Programme Committee, logistical organisation of committee meetings, minute-taking
  • Manages, organises the selected speakers in the event management tool, publishes confirmed speakers on website, liaises with Marketing team to provide programme information for promotional brochure, checks and reminds speaker to register for event, liaises with session managers

Verantwoordelijkheden

  • Je fungeert samen met je team als aanspreekpunt voor alle vragen rond L&D op elk niveau binnen de organisatie (behoefte analyse, budget, vormingsaanpak, selectie van partners, etc).
  • Je werkt een strategisch L&D plan uit in samenwerking met de Academy en tekent kwaliteitsvolle opleidingsprogramma's uit voor alle levels (Leadership Development, People Management Development, Team Support, etc).
  • Je ontwikkelt processen en procedures, voert deze door, evalueert ze, en toetst ze af aan de strategie van de onderneming.
  • Ook project management neemt een belangrijke plaats in; als Project Manager of Project member kan je crossdepartementeel te werk gaan vanuit de eigen L&D expertise.
  • In nauwe samenwerking met de HRBP's ondersteun, coach en adviseer je werknemers, management en teams.Je werkt hiervoor een kader uit en reikt de tools aan.
  • De People Development Officer zal onder jouw supervisie het opleidingsbudget opstellen en beheren en erop toezien dat de medewerkers hun verplichte opleidingen volgen.
  • Als geboren People Manager weet jij de teammembers te sturen, te enthousiasmeren en te inspireren met inbegrip van coaching, training en evaluatie.

Change Management: Participate in change management initiatives related to order management processes, ensuring smooth transitions and adoption of new procedures.

Customer Satisfaction: Collaborate with other departments to resolve customer issues and inquiries promptly, aiming to exceed customer expectations.

Performance Metrics: Monitor and develop key performance indicators (KPIs) related to order management and work with the team to achieve and exceed targets.

Process Improvement: Continuously evaluate and enhance order management processes for efficiency and accuracy.

Documentation: Maintain accurate records and documentation related to orders, ensuring compliance with company policies and industry regulations.

Reporting: Generate reports and provide insights to upper management on order management performance and trends.
