Act as the single-point-of-contact for assigned customer accounts; managing the entire order life cycle to ensure orders are processed on time.

Key Responsibilities

  • Responsible for assigned customer accounts and backup for the entire order life cycle (from new customer set-up, order entry/modification, escalations; responsibilities might include logistics management) to ensure orders are shipped to agreed deadline.
  • Act as the single-point-of-contact to customers, parts distribution centers and/or manufacturing plants and cross functional departments to process and fulfil customer orders; providing accurate documentation and continual communication to customer throughout the process.
  • Take ownership of and resolve complex customer inquiries through extensive research, a detailed understanding of the processes, systems, and practices; provide timely and informative responses as per the Service Level Agreement.
  • Request support from the next appropriate level of customer support for complex escalations/issues providing documentation throughout the process.
  • .Maintain accurate records of all internal and external interactions in the appropriate database/system.
  • .Ensure customers comply with export polices and ensure required export/shipping documentation is compiled to the relevant legislation.
  • Prepare and distribute standard and customized internal and customer reports.
  • Understand Customer Order Management policies, procedures and metrics.
  • Support Customer Order Management departmental goals and initiatives to become a more proactive customer support organization.
  • Participate in/lead process improvement projects.

Description

The Replenishment Specialist calculates delivery quantities and delivery times for deliveries, manages master data, and performs analyses to calculate individual consumption factors.

Tasks:

- Inventory and requirements monitoring:

  • Manage inventories of all products and calculate requirements (just-in-time) based on historical data, market trends and forecasts;
  • Understand the specific needs of Retail, Horeca, Out-of-Home (impulse market) and Export customers;
  • Adapt to financial (suppliers' promotional plans, etc.) and logistical constraints (storage space, minimum order quantities, delivery times, etc.);
  • Find quick and effective solutions to problems that may arise, such as stock-outs or delivery delays;
  • Anticipate the effects of seasonality and the impact of weather on demand to avoid stock-outs or overstocking;
  • Closely monitor working capital (stock value) and minimize losses of out-of-date products, with the help of all teams;
  • Analyze, understand and forecast the impact of a promotional plan on purchases and sales;
  • Continuously seek opportunities to improve the efficiency, quality and profitability of the supply chain.

- Initiate orders and monitor deliveries:

  • Decide on order quantities through rigorous monitoring of stocks and requirements;
  • Encode orders in ERP, send them to suppliers and handle Adhoc administrative tasks;
  • Manage and challenge suppliers' delivery schedules;
  • Establish and maintain a strong relationship with suppliers' order departments;
  • Manage disputes and report on suppliers' operational performance;
  • Organize and plan transport for certain product categories with partner logistics companies.

- Operational support to teams:

  • Listen and respond to the specific needs of the sales team (information on product availability, urgent orders,.) and customers ;
  • Understand and communicate inventory anomalies and ensure they are taken into account by the sales team;
  • Ensure that the supply chain operates in a coordinated manner between departments.
